From Concept to Completion: The 5-Stage Retail Fitout Process Behind Grand Optics, Chatswood

Retail Fitout Success: How Studio PFA Delivered Grand Optics in Chatswood

A well-executed retail fitout can transform your business. But turning a concept into reality involves more than just good design—it’s a coordinated effort that requires expertise, precision, and a deep understanding of compliance, landlord processes, and timelines.

Without the right guidance, you risk costly delays, budget overruns, and lost revenue. That’s why choosing an experienced architecture and retail design team is critical.

When you partner with Studio PFA, your retail fitout is managed through a clear, proven five-stage process. One recent example is our successful delivery of Grand Optics, an optometrist clinic in Lemon Grove Shopping Centre, Chatswood NSW. From briefing to builder appointment, the entire process took just two months—highlighting the efficiency and attention to detail Studio PFA brings to every project.

Stage 1: Pre-Design – Laying the Foundation

The pre-design phase is all about discovery. Here, we gather information, assess feasibility, and define the project scope. For Grand Optics, our client came to us with a clear brief: a testing room, equipment storage, a front-of-house retail area, new shopfront, laboratory, and staff room.

They also set budget and timeline constraints, aiming to avoid overlapping leases and minimise downtime.

Studio PFA conducted a thorough site measure and feasibility review. We identified an opportunity to reclaim the shopfront to the lease line, creating a more inviting three-dimensional entry. The entry door was relocated for better flow and to align with the client’s Feng Shui preferences.

Throughout this stage, we coordinated with the landlord and key consultants to set the project up for success.

Stage 2: Design – Bringing Concepts to Life

With a strong brief in place, the design stage began. Studio PFA presented two concept layouts for Grand Optics, with the selected option offering improved circulation and greater storage—both essential for a busy optometry practice.

From there, we developed a detailed 3D model, mood boards, a material palette, and shopfront concepts. The client selected a clean, modern, and transparent design that balanced openness with privacy.

This stage ensures that your vision is fully realised on paper before any approvals or construction take place.

Stage 3: Permit Approval – Navigating the Red Tape

Securing approvals can be one of the more complex stages of a retail fitout, especially in strata environments like Lemon Grove. These typically involve multiple stakeholders and slower committee approvals.

Studio PFA handled this process end-to-end, gaining landlord approval and coordinating with incumbent contractors for key services such as HVAC, plumbing, and electrical (commonly referred to as CAT1 services).

For this project, a Complying Development Certificate (CDC) was suitable. We sourced quotes from private certifiers, prepared the full CDC documentation, and ensured the design met all Deemed-to-Satisfy (DTS) provisions—avoiding the need for additional performance solutions.

With strong documentation and preparation, CDC approval was granted within days—a notably fast outcome.

Stage 4: Pre-Construction – From Design to Tender

In the pre-construction phase, our role shifts to detailed documentation and tender management. For Grand Optics, the client requested competitive quotes from three shopfitters.

Studio PFA prepared a complete tender package, including working drawings and specifications. We issued an Expression of Interest (EOI), responded to RFIs, and reviewed submitted quotations, summarising key details for the client.

Should any bids exceed budget, we provide value engineering strategies to reduce costs without compromising quality. For more complex projects, we also recommend involving a Quantity Surveyor for cost control at each milestone.

Stage 5: Construction – Delivering the Vision

Once the shopfitter was appointed, construction commenced. While our Grand Optics client opted to manage construction directly, Studio PFA routinely provides construction phase services, including:

  • Site inspections
  • Responding to shopfitter RFIs
  • Contract administration
  • Managing variations and EOT claims

At handover, the finished Grand Optics clinic closely matched the tender documentation—delivered on time, with minimal business interruption.
